Don’t Sweat Summer Staffing: 7 Challenges HR Can Help Solve

Summer brings a welcome change of pace. Longer days, sunny skies, and a bit more flexibility give everyone a morale boost. But as HR professionals, we know that what feels like freedom to the team can very quickly turn into friction when it comes to keeping things moving for a business. Summer staffing gets complicated, vacation requests spike, priorities shift, people get distracted — and some days, it seems like the only consistent thing is how slowly things move.

The reality is that many of these challenges repeat every summer, making them predictable and preventable. Smart businesses will build long-term plans to prepare for summer staffing chaos, but no one can anticipate every little wrench that gets thrown into the plan. So, we also need to have tools available as quick-fixes (like when half your team is OOO and a major deadline is a week away).

As we are starting to see many of these issues pop-up for our clients, we thought it would be a good idea to look at seven of the most common summer HR issues. And as we tend to do, we’ll also offer some temporary band-aid solutions, as well as some more ideal strategic plans for preventing them altogether in the future.

7 Summer Staffing Slowdowns

1. The ‘Summer Mindset’

We’ve all seen it. As temperatures rise, so does the tendency to mentally check out. The energy in the office shifts from productive to physically present but mentally drifting toward weekend plans. While a little daydreaming is harmless, that collective lull can have a massive impact on business productivity, delaying critical projects and slowing momentum.

One way to help keep focus intact is to carve out protected “focus sprints” — a widely used productivity technique. Dedicate a specific time during the week where there are no meetings or pings, so everyone has dedicated time to knock out key tasks. If you’re in a pinch, a quick Monday “priority huddle” can refocus the team, helping everyone align on what matters most before the distractions start pulling people toward the weekend again.

2. Key People Out-of-Office

It’s imperative to have go-to leaders. But summer highlights the risk of relying too heavily on specific people. When a key person heads off on vacation without a plan for handoff, projects stall, decisions pile up, and the rest of the team is left waiting and guessing what to do next.

We can easily solve this long term by setting up a backup system where every leader has team members who are intimately involved in the plan for the project. These deputies shadow them regularly and have access to key workflows and to-dos. One long-term solution to summer staffing is clear emergency leave guidelines: who qualifies, how much notice is preferred, and how to request it. It doesn’t have to be fancy, it just needs to be available.

5. Workhorse Overload

Overlap a few PTO calendars and suddenly, your high performers are drowning. You know the same two or three people who pick up the slack when people are out. These are your workhorses, your high-performers, and in many cases, your best employees. When summer comes along, the workload imbalance for these people can become unsustainable. Burnout of your top people becomes a real threat.

When teams operate with shared awareness and accountability, time off becomes less stressful for everyone involved.

7. Loss of Momentum

Returning from vacation shouldn’t feel like starting over. Too often, people come back unsure of what’s changed, what’s urgent, where to pick up, or sometimes where they even left off. The re-ramp-up time is significant, eats into productivity and slows the whole team.

Long term, we suggest automating a “return-to-work” digest with key updates and action items — sent to anyone returning from vacation. Another effective tactic is assigning partners who are responsible for updating someone who’s been out of the loop for any length of time. Think of it like a mini-onboarding that can make that first day back feel far less overwhelming and stressful.

Summer Doesn’t Have to Be a Stress Test

Summer will always bring unique staffing challenges — and a few curveballs. But with the right mix of forward-looking strategies and real-time fixes, navigating the season without sacrificing momentum or morale can be just another part of the job. The key is balance. Building systems that support and encourage flexibility and time off, while keeping the business humming.
